Job Title: Production Coordinator

Position Overview:
The Production Coordinator is an entry-level role that provides vital support to both the Production and Artistic departments in the lead-up to and during the Canmore Folk Festival. This position is ideal for someone eager to gain hands-on experience in festival operations, event production, and artist coordination in a fast-paced, collaborative environment.

Key Responsibilities:
Production Support:
- Coordinate production meals, billeting and general logistics
- Coordinate signage and supplies for festival operations.
- Assist with printing and assembling festival packages/passes/badges for artists.
- Assist with site set-up (e.g., signage installation, preparing backstage areas and green rooms).
- Assist with minor backstage and site troubleshooting during the festival
- Be familiar with festival emergency procedures and assist in communicating them to artists and volunteers backstage if necessary.
Artistic Support:
- Assist with artist check-in, hospitality needs, and backstage coordination.
- Support the Artistic Associate with artist schedules, contracts, and riders.
- Work with volunteers to ensure artists' needs are met during performances.
- Help manage the artist liaison team during the festival weekend.
General Duties:
- Provide on-site support throughout festival preparation, event days, and post-festival wrap-up.
- Attend production and team meetings, taking notes and sharing updates as required.
- Foster a positive and collaborative environment for volunteers, artists, and team members.
- Help prepare post-festival appreciation efforts (thank-you notes, swag, celebration events).
- Support distribution of promotional materials in the Canmore area.
- Help track artist deliverables such as bios, promo photos, and tech specs.
- Administrative tasks such as database updates, expense tracking, and document filing.
- Assist with thank-you emails or cards for artists and agents.
- Gather and organize festival photos/videos featuring artists.
- Assist in compiling a post-festival artistic report (e.g. artist feedback, what went well/what to improve).
Skills & Attributes:
- Strong organizational skills: proactive mindset, attention to detail, able to juggle multiple priorities in a dynamic environment.
- Excellent communication skills: comfortable talking to artists, volunteers, and staff in a professional and friendly way. Being collaborative, positive, and willing to pitch in wherever needed.
- Problem-solving ability: able to stay calm, resourceful, and flexible when things don’t go as planned. comfortable working in changing weather conditions and fast-paced festival environments.
- Technical skills: basic proficiency with Google Workspace (Docs, Sheets, Drive) and comfort learning new database systems like Airtable.
Requirements:
- Must be available to work on-site in Canmore as needed during the full contract period.
- Full-time, on-site presence required during the week leading up to and during the Canmore Folk Festival (August long weekend).
- Ability to work long hours, including evenings and weekends, especially during the festival week.
- Comfortable working outdoors in a variety of weather conditions.
This position is funded through the Canada Summer Jobs program. To be eligible, applicants must:
- Be between 15 and 30 years of age at the start of employment;
- Be a Canadian citizen, permanent resident, or person who has been granted refugee status in Canada;
Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations; - International students are not eligible.
While some remote work can be accommodated during the early planning phase, the Production Coordinator must be able to work in-person in Canmore throughout the contract and must be fully present in Canmore during the festival week. Please note that long hours, outdoor work, and physical tasks are required during the festival week.
